Payment reminder email templates for freelancers

Most late invoices get paid after a clear, polite reminder. Use these five emails in order, from a heads-up before the due date to a final notice, and fill in the brackets with your own details.

1. Friendly reminder (3 days before the due date)

Subject: Invoice [number] due on [date]

Hi [Name],

Quick heads-up that invoice [number] for [project] ($[amount]) is due on [date]. I've attached it again here so it's easy to find.

Thanks again for the work together. Let me know if anything on it needs changing.

2. Due today

Subject: Invoice [number] is due today

Hi [Name],

Just a note that invoice [number] for $[amount] is due today. You can pay by [bank transfer / payment link], and the details are on the attached invoice.

If it's already on its way, thank you and please ignore this.

3. First overdue follow-up (3 to 7 days late)

Subject: Following up: invoice [number] (due [date])

Hi [Name],

I haven't seen payment for invoice [number] ($[amount]), which was due on [date]. Could you check whether it's been processed, or let me know if there's anything holding it up?

I've attached the invoice again. Happy to resend it to someone in accounts if that's easier.

4. Firm reminder (14 days late)

Subject: Invoice [number] is now 14 days overdue

Hi [Name],

Invoice [number] for $[amount] is now 14 days past its [date] due date. Please let me know by [day] when I can expect payment.

As in our agreement, [late fee terms / work on new requests pauses] until overdue invoices are settled. I'd much rather sort this out quickly, so a short reply with a payment date is all I need.

5. Final notice (30 days late)

Subject: Final notice: invoice [number], [amount] overdue

Hi [Name],

This is a final reminder that invoice [number] for $[amount] is now 30 days overdue. I've followed up on [dates] without a payment date.

If I don't receive payment or a confirmed date by [date], I'll need to [apply the late fee in our contract / move this to a collections service / pursue it through small claims].

I'd prefer to resolve this directly. Please reply today.

Tips that get invoices paid faster

  • Always include the invoice number, amount and due date in the subject line.
  • Attach the invoice to every reminder so nobody has to search for it.
  • Ask for something specific, like a payment date, instead of "any update?".
  • Write your late-payment terms into the contract before the project starts.
  • Keep follow-ups on a schedule. The same rhythm works for quiet leads too: see our follow-up email templates.

FAQ

When should I send a payment reminder?
Send a friendly reminder a few days before the due date, a short note on the due date, then follow up at about 3 to 7 days late, 14 days late and 30 days late. Each message gets a little firmer and names a specific next step.
How do I ask for overdue payment without sounding rude?
Keep it short and factual: the invoice number, the amount, the due date, and a clear ask such as a payment date. Assume a simple delay first, attach the invoice again, and offer to resend it to accounts.
Should I keep working while an invoice is overdue?
Put your terms in the contract up front, for example that new work pauses when an invoice is more than 14 days late. Then you can point to the agreement instead of making a new rule in the middle of a dispute.
How do I avoid late payments in the first place?
Agree payment terms before you start, take a deposit or milestone payments on larger projects, invoice the day work is delivered, and keep a dated list of every invoice and follow-up so nothing slips.
